ARRIVAL & DEPARTURE

Glenlockhart Cottage will be ready for you from 4pm on your day of arrival

We ask you to vacate by 10am on your day of departure

 

PAYMENT

A non-refundable deposit of 30% is payable on booking (minimum £350)

Balance is payable six weeks prior to arrival

If booking within six weeks of arrival, payment in full is required

If full payment is not received by the due date Glenlockhart Cottage reserves the right to cancel the booking and release those dates for rebooking

A security damage deposit of £200 will be held on your credit card and will be released within 48 hours of your departure

We recommend that you take out holiday insurance as we will only be able to offer a refund if we are able to rebook the cottage

Terms & Conditions

 

Thank you for choosing to book with us - we hope you will enjoy your stay at Glenlockhart Cottage.

The following terms and conditions apply to your booking for a short-term holiday rental. They form the terms of a legally binding contract between Glenlockhart Estates Ltd as the Owners of Glenlockhart Cottage (referred to as “us”, “we”, “our”) and the person making the booking and all members of the holiday party (referred to as “you”, “your”, “guests”). Scottish law will govern the contract. The contract will be subject to these booking conditions, and must be complied with.

The person whose name is on the booking form (referred to as “the Responsible Person”) agrees to take full responsibility for ensuring that all the following Terms & Conditions are adhered to by all members of the party. The Responsible Person must personally stay at the accommodation throughout the holiday and be at least 25 years of age at the time of booking.

Only those persons detailed on the booking form may occupy the property. The names, addresses and ages of all members of the party must be shared with the Owners on request.

Please read the following conditions of let carefully, and ask for an explanation of any point that may be unclear to you.

 

BOOKINGS

When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. Your booking is provisional and a contract shall only arise when your booking is subsequently confirmed in writing by email from us. We aim to respond to your booking request within 24 hours. Bookings made by telephone will be held for a maximum of five working days pending receipt of a completed and signed Booking Form and the deposit/holiday payment.

PAYMENT

Bookings are confirmed by email from us on receipt of the booking form and receiving the deposit of 30% of the holiday rental cost (minimum £350). The balance of the holiday rental cost is payable 42 days prior to the holiday rental commencement date; you will be notified by email that the balance is due.

We reserve the right to cancel a booking where payment in full has not been received 42 days before the commencement date, in which case the deposit is non-refundable. If the booking is made within 42 days of the rental commencement date, then payment will be due in full upon booking.

No entry to the property will be allowed without payment in full, and the Security Deposit being cleared beforehand. Once you have a confirmed booking (and the deposit has been paid and processed), you are responsible for the full rental costs even if you subsequently cancel. The deposit will be returned if we are unable to accept the booking.

SECURITY DEPOSIT

In making a booking you accept responsibility for any theft, breakage or damage caused by you or by any member of your party or guests, and you agree to indemnify us in full for any loss that we may incur as a result. A Security Deposit of £200 will be held on the credit/debit card of the Responsible Person seven days prior to the date of arrival. For bookings made less than seven days in advance of arrival, the Security Deposit will be held from time of booking and payment in full.

The Security Deposit will be released within two days of the end of your holiday less the cost of any loss, damage, breakages or additional cleaning required.

CANCELLATION AND INSURANCE

By making your booking, our agreement is a legal contract and your deposit is non-refundable under any circumstances.

Cancellations must be immediately notified to us by email so that we can release the dates for re-booking. If we are able to re-let your dates we will refund the final letting price to you (which may be less than you paid) less the deposit and an administration fee of £50.

If we are unable to re-let you remain responsible for the full rental costs and there will be no refund under any circumstances.

Holiday Cancellation insurance is not compulsory, however we strongly recommend such insurance to protect against the cancellation penalties if you are unable to take your holiday.

NON-AVAILABILITY OF ACCOMMODATION

We would only cancel your holiday if your accommodation was unavailable for reasons beyond our control such as fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure”). In this circumstance, you will be refunded all monies paid by you up to that point. If we have to terminate your holiday early for any of the above reasons we will refund part of the booking fee pro rata based on the time remaining of the booking. Our liability would not extend beyond this refund. No additional compensation, expenses or costs will be payable.

LIABILITY

As far as the law allows, Glenlockhart Estates, its employees and representatives shall not be liable to you or your party for injury sustained, loss or damage to any belongings, additional expense incurred or inconvenience during their stay at Glenlockhart Cottage.

The owners accept no liability for accident, injury, loss or damage sustained by any guests, their family, visitors, vehicles or personal effects however caused, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

You must take all necessary steps to protect and safeguard your personal property.

RIGHT OF ENTRY

We shall be allowed reasonable right of entry to the property at all reasonable times for purposes of inspection or to carry out necessary repairs or maintenance.

ACCURACY OF DETAILS

The website and additional information supplied are as accurate as possible but cannot be warranted, nor do the descriptions form any contract. Whilst every effort is made to ensure accuracy of property description and images, the facilities and services may alter. We reserve the right to alter or improve any of the subjects without notice.

ARRIVAL

Your accommodation will be available to you from 4pm (16:00hrs) on the day of arrival. Early arrivals are strictly by prior arrangement only. We need this time to ensure the cottage is ready for your arrival after the departure of the previous guests.

We aim to welcome our guests in person, however if we are unable to do so we will advise you of alternative arrangements by email prior to your arrival.

No liability can be accepted should adverse weather conditions delay your travel plans.

LATE ARRIVAL

Please ensure that you contact us to let us know if you will be arriving later than 8pm (20:00hrs).

DEPARTURE

The accommodation must be vacated by 10am (10:00hrs) on the day of departure. Later departures are strictly by prior arrangement only. We have a limited time to prepare the property for the next guests and you are asked to respect this.

On departure, you are requested to leave the accommodation in a clean and tidy condition. This includes washing up, ensuring oven and grill are clean and free from grease, and placing rubbish in bins. We reserve the right to make a charge of £40 for additional cleaning if the accommodation is not left in satisfactory condition.

TERMS OF USE

The property is let for the purposes of a holiday let to which Paragraph 6 of Schedule 1 of the Private Housing (Tenancies) (Scotland) Act 2016 applies. The booking agreement confers the right to occupy the accommodation for the agreed period only. You undertake to use the property solely for its purpose as self-catering accommodation and to accept the Owners right to refuse access to the accommodation to any person, whether the Responsible Person or guest of the Responsible Person, deemed unsuitable.

Causing a nuisance or disturbance to neighbours, or any unreasonable behaviour, may result in the Owners requiring the Responsible Person and their guests to leave the property. Under this circumstance the Owners reserve the right to immediate access at all times.

NUMBER OF PERSONS USING THE PROPERTY

The number of persons occupying Glenlockhart Cottage must not exceed four adults plus one infant. We reserve the right to refuse entry to the entire party if this condition is not observed.

All facilities at the cottage are strictly reserved for the use of our guests. Guests’ visitors may use the facilities only with the specific prior approval of the Owners.

Stag, hen, or similar parties are not permitted at Glenlockhart Cottage.

CARE OF THE PROPERTY

You are responsible for the property and are expected to take all reasonable care of furniture, furnishings, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as at the beginning.

You undertake to leave the property safe and secure at all times, with gas fire and oven switched off and door and windows locked securely when the property is unoccupied during the period of let. Your personal property and belongings are at your own risk and the Owners cannot be held responsible for loss or damage.

You must not use the property for any dangerous, offensive, noxious, noisy or immoral activities, or carry on therein any act that may be a nuisance or annoyance to the Owners or other neighbouring properties.

DAMAGES AND BREAKAGES

Please take care when staying in our property. You are responsible and liable for any breakages or damages that you cause to the accommodation or its contents, and we ask that you report any incidents as they occur.

We do not normally charge for minor breakages such as the odd glass or plate, but you are legally bound to reimburse the Owners for replacement or repair and we may charge your Debit/Credit card if the damage or breakage is significant.

If you lose a key (or set of keys) we will replace it/them upon payment of £20 to cover the cost of cutting new ones.

FACILITIES

The price of the accommodation includes the following: Bed linen and towel hire, hot water, central heating, electricity and internet use.

Complimentary toiletries (shower gel, shampoo, hand wash) are provided for guests' use during their stay. These are in refillable bottles to reduce environmental impact, they are sanitised between guests and should not be removed at the end of the stay. If guests choose to take these bottles home, a restocking charge of £10 per bottle will apply

WiFi internet access is provided for guests use only, and you agree to reasonable and lawful usage of this service. We cannot offer technical support or guarantee a connection or quality of service.

All bed linen, towels and kitchen towels are supplied for the use of guests during their stay and should not be removed from the cottage. We would respectfully point out that fake tan will stain white bed linen and towels, and will incur a cost for their replacement. Dark coloured sheets can be provided if requested no less than one week in advance of arrival.

If your stay is longer than one week, we will provide clean bed linen and fresh towels weekly.

PETS

Pets are not permitted at Glenlockhart Cottage.

SMOKING

Smoking is not permitted inside Glenlockhart Cottage. Smoking is permitted in the garden, a receptacle is provided outside for cigarette ends and we would ask that you use it please.

CUSTOMER SERVICE

Every effort is made to ensure that you have an enjoyable stay. However, if you have any problems or cause for complaint, or if there is anything we can do to make your stay more comfortable, please let us know immediately – please do not wait until you leave to tell us. This means we can fix and/or put something right straight away.

We value your custom and want you to return in the future, we live next door and will do our best to resolve any problem as quickly as possible.

In the rare event of a breakdown of a particular service or item, a repair/replacement shall be found and/or fitted within 48 hours where possible. The Owners cannot be held liable for any loss or inconvenience arising from loss of use of the service/item.

LOST PROPERTY

Please ensure that all your belongings are taken home with you. There is a minimum charge of £10 plus postage/courier charges to return any items that you have left behind.

GENERAL

In the event that any individual term or clause stated in these Terms and Conditions of Let is not permissible by law, the remainder of the agreement shall remain valid.

PRIVACY POLICY

Details of our Privacy Policy can be found on our website www.glenlockhartcottage.co.uk.

Any data collected during the course of this booking will be stored on our computer(s). With your permission we may from time to time contact you about promotions and offers. We will not share your details with any third party other than those directly involved in facilitating your booking.
